1. Introduction

Welcome to the Yadah Christian School Parent Portal.

This portal enables authorized parents and guardians to access information relating to their enrolled learners, view applicable school charges, review payment records and make secure online payments.

By accessing or using the portal, you agree to these Terms & Conditions.

These terms apply to the use of the online portal and the payment of school services. They should be read together with the school's applicable enrolment policies and any other terms communicated by the school.

Nothing in these terms limits any rights that cannot lawfully be excluded under Zambian law.

2. Parent and Guardian Access

The Parent Portal is intended for parents, legal guardians and other persons expressly authorized by Yadah Christian School.

Access may require a registered mobile phone number, school-issued activation credentials and a personal PIN.

Users are responsible for:

  • Keeping their login credentials confidential.
  • Providing accurate information.
  • Not sharing their account with unauthorized persons.
  • Reporting suspected unauthorized access to the school.
  • Using the portal only to access learners for whom they have been granted permission.

The school may suspend access where it reasonably suspects misuse, fraudulent activity or unauthorized access, subject to applicable law.

3. Available School Services

The portal facilitates payments for the following categories.

3.1 Tuition Fees

Tuition fees relate to the education of learners enrolled at Yadah Christian School.

Parents may make full or partial tuition payments where instalment payments are permitted by the school.

Making a partial payment does not automatically settle an outstanding tuition balance.

3.2 School Lunch

Lunch fees cover participation in the school's meal service for the applicable academic period.

The applicable fee is determined by the school's published fee schedule.

3.3 School Transport

Transport fees cover approved school transport arrangements for enrolled learners.

Charges may vary according to the selected transport station or pickup location.

Parents must confirm the correct transport option before making payment.

All services remain subject to the school's approved availability, scheduling and operational arrangements.

4. School Fees and Payment Amounts

All fees are determined by Yadah Christian School and are generally displayed in Zambian Kwacha (ZMW).

Parents and guardians should verify the learner, service category, academic term, year and payment amount before proceeding.

Where the school permits instalment payments, any unpaid amount remains outstanding until settled or otherwise adjusted by the school.

Any applicable payment-processing charges must be disclosed before the parent confirms the transaction.

The school reserves the right to update its published fee schedule, but changes will not retrospectively increase the amount of an already completed transaction.

5. Online Payments

Online payments are processed using the payment methods made available through the school's authorized payment gateway, including DPO Pay where applicable.

Available methods may include bank cards and supported mobile money services.

When making payment:

  1. Verify the learner and selected service.
  2. Confirm the amount payable.
  3. Review the transaction information.
  4. Proceed to the secure payment checkout.
  5. Follow the instructions provided by the payment provider.

A payment is considered successfully completed for portal-recording purposes only after confirmation from the payment provider and reconciliation with the school's payment records.

A successful browser redirect, screenshot or payment initiation message alone does not necessarily confirm that the school has received payment.

6. Pending, Failed and Duplicate Transactions

Some payments may take time to process or confirm.

If a transaction is marked as pending, parents should avoid immediately making another payment for the same service.

Failed, cancelled or abandoned payment sessions do not ordinarily constitute completed payments.

If a parent believes they have been charged more than once, or if funds have been deducted without payment confirmation, they should contact the school administration and provide the transaction reference.

The school will investigate the transaction with the payment provider and resolve any confirmed errors.

7. Refund Policy

Yadah Christian School operates an administration-managed refund policy for Tuition, Lunch and Transport.

7.1 Refunds Before Service Commencement

Where a payment has been made but the learner has not yet commenced using the relevant service, a parent or guardian may apply for a refund.

Under the school's ordinary voluntary cancellation policy, the eligible refund is 75% of the amount paid, subject to review and approval by school administration.

The remaining 25% is retained under the school's ordinary cancellation terms, except where applicable law requires a different outcome.

7.2 Refunds After Service Commencement

Under the school's ordinary voluntary cancellation policy, the following payments become non-refundable once the corresponding service has commenced:

  • Tuition: Once the learner has commenced receiving the educational service.
  • Lunch: Once the learner has used the school lunch service for the first time.
  • Transport: Once the learner has used the school transport service for the first time.

The fact that part of an academic term remains unused does not, by itself, create an entitlement to a refund under the school's ordinary cancellation policy.

7.3 Mandatory Legal Rights

These refund rules do not override applicable statutory cooling-off rights, remedies for services not supplied, or other mandatory consumer protections.

Where the law entitles a parent or guardian to a greater refund, shorter cancellation period or another remedy, the applicable law will take precedence.

7.4 School Administration Approval

All refund requests must be submitted to and processed through Yadah Christian School's administration.

This includes payments that were successfully completed through the online portal or DPO Pay.

The Parent Portal does not provide automatic or self-service refunds.

7.5 Duplicate and Erroneous Payments

Accidental duplicate payments, incorrect allocations, unauthorized transactions and other payment errors are reviewed separately from ordinary service cancellation requests.

The school will investigate and resolve confirmed errors in accordance with applicable laws and payment-provider requirements.

8. Cancellation of School Services

Parents wishing to discontinue Tuition, Lunch or Transport services must notify the school administration.

Cancellation does not automatically result in a refund.

Requests will be reviewed with reference to the applicable service commencement date, school records, the refund policy and any mandatory legal entitlements.

Parents remain responsible for any valid outstanding charges incurred before cancellation.

9. Reallocation of Payments

Where appropriate, parents or guardians may request that eligible funds be reallocated between school services, including:

  • Tuition
  • Lunch
  • Transport

Such reallocations are not automatic and require both the parent's agreement and approval by the school administration.

Any approved reallocation will be recorded against the relevant learner's account, with the original payment transaction retained for accounting and audit purposes.

10. Payment Records and Receipts

The Parent Portal may display payment history, fee balances and transaction confirmations.

Payment information is drawn from the school's administration and financial records.

If there is a discrepancy between a portal display and the school's verified accounting records, the school will investigate and correct any confirmed errors.

Parents may request payment clarification or an official statement through the school administration, subject to appropriate identity verification.

11. Privacy and Protection of Learner Information

Yadah Christian School recognizes the importance of protecting personal information, particularly information relating to children.

Information processed through the portal may include learner identification details, authorized guardian contact information, fee balances, payment records and account-access information.

Such information is used to administer authorized portal access, provide school services, process payments, maintain accurate records and meet applicable legal obligations.

The school and its authorized technical and payment-service providers must handle personal information in accordance with applicable data-protection laws.

Learner information must not be disclosed to users who are not authorized to access it.

Further information about personal-data collection, use, retention, sharing and individual rights should be provided in the school's separate Privacy Policy.

12. Portal Availability and Technical Issues

The school will make reasonable efforts to maintain the availability and accuracy of the Parent Portal.

However, online services may occasionally be interrupted because of maintenance, internet connectivity, payment-provider outages or other technical difficulties.

Where online payments are unavailable, parents may contact the school regarding approved alternative payment arrangements.

An interruption does not invalidate a payment already successfully received or remove an otherwise valid outstanding school-fee obligation.

13. Complaints and Disputes

Parents and guardians should direct questions about fees, payment allocations, refunds, cancellations or learner records to Yadah Christian School's administration.

Where a complaint concerns a payment, the parent should provide the relevant transaction reference, payment date and amount where available.

The school will review complaints and communicate the outcome within a reasonable period, subject to applicable legal deadlines.

Nothing in these terms prevents a parent or guardian from exercising statutory rights or approaching an appropriate regulatory authority.

14. Changes to Terms

Yadah Christian School may update these Terms & Conditions to reflect changes in school services, payment arrangements, technology or applicable legal requirements.

The current version will be made available through the school's website or Parent Portal, showing its effective date.

Material changes will be communicated appropriately and will not retrospectively remove rights that have already accrued.

16. Governing Law

These Terms & Conditions are governed by the laws of the Republic of Zambia.

Nothing in these terms excludes or limits any statutory rights or protections available to parents, guardians or learners under applicable Zambian law.

By proceeding with an online payment, you acknowledge that you have been given an opportunity to review these Terms & Conditions, including the school's Refund and Cancellation Policy, before confirming the transaction.
